Privacy Policy
This policy explains what personal information I collect through this website and when you deal with me directly, why I collect it, who sees it, and your rights under the Protection of Personal Information Act 4 of 2013 (POPIA). In this policy "I" and "me" mean d'Artagnan Assis, trading as Dartagnan Assis Coaching.

2. What I collect and why

I only ask for what I need. Please do not put medical details in the website forms. Those go on the consent and medical form, which I send after you book.
3. Lawful basis and your consent
I process your information because it is needed to respond to your request and to carry out the coaching you ask for, because the law requires some records (for example tax and invoicing records), and, where the information is optional or sensitive, because you agree. You give your agreement by ticking the consent box on the website forms or by returning the signed consent form. You can withdraw it at any time by emailing or messaging me. Withdrawing does not affect anything already done lawfully.
4. Children's information
Most players are under 18. POPIA only lets me process a child's information with the consent of a parent or guardian, so enquiries and bookings for a child must be made by a parent or guardian. Health information on the consent and medical form is special personal information. I use it only to keep the player safe, I share it only if needed in an emergency, and I keep it for as long as I coach the player and for a limited time afterwards. Photos and videos of a child are only taken or shared with a parent or guardian's written permission, which can be withdrawn at any time.
5. Who else handles your information
- Netlify (United States) hosts this website and stores form submissions.
- Google (United States and other countries) provides email, Google Calendar and Drive for my records, and Google Analytics if you accept cookies.
- WhatsApp and Instagram (Meta) carry messages if you contact me there.
- My bank and accounting records, for invoices and payments.
Some of these providers process information outside South Africa. I use providers that publish their own privacy and security commitments, and I do not sell your information or use it for marketing by third parties. I will only share your information otherwise if the law requires it or in an emergency affecting the player's safety.
6. Direct marketing
I will not send you promotional messages unless you have asked me to, or you are an existing client and I am telling you about similar services. You can always say stop and I will stop.
7. How long I keep it
- Enquiries that do not lead to bookings: deleted within 12 months.
- Client records, consent forms and progress notes: while I coach the player and for up to 3 years afterwards.
- Invoices and payment records: 5 years, as tax and accounting rules require.
- Analytics data: kept in Google Analytics for up to 14 months.
8. How I protect it
This website is served over HTTPS with security headers. Form submissions are stored in an account protected by two-step verification, and only I can access them. Records are kept in password-protected accounts. No system is perfectly secure. If a breach affects your information I will tell you and the Information Regulator as POPIA requires.
9. Your rights
You may ask me to confirm what I hold about you or your child, to give you a copy, to correct it, or to delete it, and you may object to its use or withdraw your consent. Email or message me and I will respond within 30 days. If you are unhappy with my response you may complain to the Information Regulator (South Africa): inforegulator.org.za, POPIAComplaints@inforegulator.org.za.
